Watch out for these common pitfalls

Common mistakes that cost fleets time, money, and operational pain:

Buying more than you need. The bigger fleet camera vendors aggressively upsell multi-camera enterprise configurations to operations that would do fine with a single dash cam. Be skeptical of any vendor who recommends their largest tier without first understanding your actual operation.

Buying less than you need. The opposite mistake — selecting an entry-tier configuration for a fleet that has multi-camera requirements. Common in concrete, garbage, and heavy equipment fleets where blind-spot coverage isn't optional. Single-camera configurations on these vehicles create more liability exposure than they prevent.

Multi-year contract lock-in. Most enterprise fleet camera vendors require 3-5 year contracts to access their best pricing. This works against fleets that want flexibility, that may grow or shrink, or that may want to evaluate alternatives over time. Look for vendors with flexible contract terms.

Hardware-only purchases. Several specialty camera vendors sell excellent multi-camera hardware but lack a modern cloud platform — meaning no live remote viewing, no mobile app, no fleet management dashboard, no remote video pull. Buying hardware without a cloud platform is buying a recording device, not a fleet camera system.

Cloud-only purchases. Conversely, the modern telematics platforms emphasize their cloud capabilities but sometimes underdeliver on hardware ruggedization, multi-camera support, or specialty configurations. Make sure the hardware can actually do what your operation requires before falling in love with the dashboard.

Questions to ask any vendor

Before signing anything:

  • What's the total cost of ownership over 3 years (not just monthly subscription)?
  • What's the contract length, and what are termination terms?
  • Does the platform support multi-camera vehicles, or is it limited to dash cams?
  • What happens to my recorded footage if I cancel service?
  • How are software updates delivered, and is there an additional cost?
  • What's the support model — phone, email, chat, response times?
  • Can I try the platform before committing? What's the trial structure?
  • How do I integrate with insurance, fleet management software, or other tools?
  • What's your roadmap, and how does my fleet's needs influence it?

Vendors who can't answer these questions clearly should be approached with caution.
